Setting up Penalty and Overtime Policies

You want to establish rules for penalizing late attendance or calculating overtime pay. Setting these policies helps maintain discipline and rewards extra work accurately.


A. Setting Up the Early Leaving Policy

Purpose: Automatically apply salary deductions when employees leave work before their scheduled time.

Steps:

  1. Go to My Team > Penalty & Overtime.

  2. Select the employee’s name.

  3. Set Allowed Early Leaving Days – defines how many early leaves are permitted without penalty.

  4. Configure Only deduct if they leave earlier than – sets the grace period before a deduction is triggered.

  5. Choose the Change deduction based on how early they leave?

    • No, use a fixed deduction for early leaving:

      • Options:

        • Half Day Salary

        • Full Day Salary

        • 1.5 × Daily Salary

        • Custom Multiplier

        • Fixed Daily Rate

      • Enter the applicable deduction amount.

    • Yes, deduct based on how early they left:

      • Options:

        • 0.5 × Hourly Salary

        • 1 × Hourly Salary

        • 1.5 × Hourly Salary

        • Custom Multiplier

        • Fixed Hourly Rate

      • Enter the rate accordingly.

  6. Click Save to apply the policy.


B. Setting Up the Late Coming Policy

Purpose: Deduct salary when employees arrive after the grace period.

Steps:

  1. Navigate to My Team > Penalty & Overtime.

  2. Select the relevant employee.

  3. Set Allowed Late Days – how many late marks are allowed before deductions start.

  4. Define Only deduct if they are late by more than – the grace time before deduction applies.

  5. Choose the Change deduction based on how late they arrive?

    • No, use a fixed deduction for late arrival:

      • Options:

        • Half Day Salary

        • Full Day Salary

        • 1.5 × Daily Salary

        • Custom Multiplier

        • Fixed Daily Rate

      • Input the fixed deduction amount.

    • Yes, deduct based on how late they arrived:

      • Options:

        • 0.5 × Hourly Salary

        • 1 × Hourly Salary

        • 1.5 × Hourly Salary

        • Custom Multiplier

        • Fixed Hourly Rate

      • Set the desired deduction amount.

  6. Click Save to finalize the Late Coming Policy.


C. Setting Up the Overtime Policy

Purpose: Automate extra pay calculations for work beyond normal hours or on holidays.

Steps:

  1. Go to My Team > Penalty & Overtime.

  2. Select the employee’s name.


1. Overtime on Working Days

  • Under Overtime on Working Days:

    • Set Overtime considered after – defines the buffer time after the scheduled shift for overtime to begin.

    • Configure Extra Hours Pay by selecting one of the following:

      • 0.5 × Hourly Salary

      • 1.0 × Hourly Salary

      • 1.5 × Hourly Salary

      • Custom Multiplier

      • Fixed Hourly Rate

    • Click Update Details to save.


2. Overtime on Week Offs and Holidays

  • Set rates for overtime on rest days and holidays:

    • Public Holiday Pay and Week Off Pay options:

      • Half Day Salary

      • Full Day Salary

      • 1.5 × Daily Salary

      • Custom Multiplier

      • Fixed Daily Rate

  • Select appropriate values from both dropdowns.

  • Click Update Details to apply.
